Keeping a hospital's item master under control

Zenith 360 collects every new and changed pharmacy and stores item from the hospital system, puts it up for review and routes it to the accounts.

The challenge

The hospital runs its pharmacy and stores on a hospital information system that has no API and no link to its accounting software.

Every new or changed medicine and consumable had to be created again in the accounts by hand. The two masters drifted apart, purchase entries waited for items to exist, and there was no record of what had changed and when.

What we built

  1. A Zenith 360 bot signs in to the hospital system every day and exports the full item master, because the system offers no API.
  2. Zenith 360 compares each day's export with the previous one and isolates only the items that are new or have changed.
  3. The changes are listed in Zenith 360 for the accounts team to see, with every day's file kept as a record.
  4. New and changed items are routed into the accounting system automatically through its API.
  5. Every change is logged, so anyone can see what changed, when, and when it reached the accounts.

The result

The hospital's item master in the accounts stays aligned with the hospital system every day, with no re-keying and a complete history of every change.
